Volunteer Descriptions
These are some of the roles we need each meet. The volunteer sign-up for meets will include all jobs and descriptions.

Clerk of Course, Runner & Verifier |

The Clerk of Course is responsible for all the paperwork at the meet before the swimmers swim. This includes check-in, seeding, preparation, and distribution of lane timing record forms. Also included are the preparation, posting, and distribution of heat sheets for deck-seeded events to all appropriate officials and spectators. The Verifier sits in the clubhouse with the computer people and verifies that the times entered into the computer match the written times. Staple the computer printout to the written sheets and put them in a box. Home team does first shift and visiting team does 2nd shift. The Runner takes the papers with the swimmers' times on them to the computer person in the clubhouse and gives the new forms to the Scribes. The home team does 1st shift and the visiting team does 2nd shift. |

This includes a variety of jobs and at different times. This includes preparing food, serving food and drinks, and running a cash box. Also includes grill masters, setting up and cleaning up the concessions. And last, the water bringer brings water to the officials, timers & scribes, and ready bench team. |

The fund-raising team includes helping to find sponsors that bring in needed resources to keep our Team functioning. Also, this would include team merchandising. |

Ready Bench |

Home and Away |
The Ready Bench is the key to keeping the meet on schedule. These volunteers organize the swimmers into heats and ensure they report correctly before the start of each event. Works with the Clerk of Course, Officials, and Team Parents. |

Responsible for set-up of various canopies, tables, trash cans, tarps chairs, etc., the morning of the meet. After the meet, tear down and put the equipment away. Three people are also needed to put out signs and direct traffic the morning of the meet. |

Head Timer: Season Home and Away |
Head Timer makes sure all timers are ready prior to each heat and signals the starter and keep time for backup. Two timers and one volunteer having a dual role as a timer and scribe per lane are needed. The positions of being a Timer and Scribe together should be filled by someone who is an experienced timer. Home and visiting teams split these responsibilities over two shifts. |

This person runs Swim Team US data entry during the meet, gathers and enters swimmer’s information, times from all heats and events, and produces results lists. |

Social Activities, Team Events Photographer |

Arranges various pep rallies and social events that help keep the enthusiasm going throughout the season and during the meets. They also help plan and coordinate the end-of-season awards party. The photographer takes pictures of the swimmers during the meet and then uploads them to the website for viewing and downloading. |

Responsible for checking in swimmers the morning of the meet, from 6:45-7:45. The coordinator also works at check-in and makes sure it is done correctly. They also make a list of who has not checked in and give this to the Clerk of Course and Coaches. Responsible for checking in volunteers and working with the Asst. Volunteer Coordinator that all positions are filled. |

Responsible for deciding on what and how many volunteers are needed, making sure positions are covered before the meet, and updating the website. During the meet, they help check in Volunteers making sure positions are filled. They will also keep track of the hours each family has completed. |

HEAD TEAM PARENT: In addition to the team parent role, on the morning of the meet, the Head Team Parent will 1) obtain the walkie talkies and megaphone, test batteries in radios 2) obtain the printed swimmer sheets and mark any changes 3) lead the TP meting by reviewing the instructions and swimmer papers with the other team parent 4) ensure that the swimmers are informed of all relay changes TEAM PARENT: Responsible for helping get the swimmers to the Ready Bench. There will be two Team Parents during each shift. The first Team Parent will be located at the Reach Bench and will radio who is missing to the 2nd Team Parent who will be near the tents and will try to locate the missing swimmer. When gathering your swimmers for relay events, please make sure they know what order they swim in and what stroke they are swimming (for the medley relay), then line them up in the correct order and bring them to the ready bench. |
